What belongs on an invoice
Rules differ by country, but most tax authorities expect the same core set of details. The form above collects all of them.
- Your business name and address
- Your VAT identification number, where you have one
- Your company registration number
- The client's name and billing address
- A unique invoice number in a consistent sequence
- The invoice date and the payment due date
- A clear description of what was supplied
- Quantity, unit price and the VAT rate per line
- The VAT amount shown separately, per rate
- The total payable including VAT
- Your bank details for payment
- Payment terms and any extra notes
A word on VAT
VAT is charged as a percentage of the net price of what you sell. Most countries have a standard rate for general goods and services, one or more reduced rates for essentials such as food, books or transport, and a zero rate for exports and certain cross-border business sales.
Because each line here keeps its own rate, a single invoice can mix, say, a standard-rate service with a reduced-rate product and still show a correct breakdown per rate. If you sell to a VAT-registered business in another EU country, the tax usually moves to the buyer — charge 0% and state that on the invoice.
